What Is a Hot Transfer Campaign?

A Hot Transfer Campaign allows Agent CRM to immediately call you when a new lead comes in. Once you receive the call, you press any button on your phone to instantly connect with the lead—ensuring fast and efficient follow-up.

This is a great way to increase response rates, as leads are most engaged when they first submit their information.


How to Set Up a Hot Transfer Campaign in Agent CRM

📌 Step 1: Create a New Campaign

  1. Go to Marketing > Campaigns
  2. Click “Create New Campaign”
  3. Name your campaign (e.g., “Hot Transfer Test”)
  4. Click “Save”

📌 Step 2: Add the Call Event to the Campaign

  1. Click “Add Event”
  2. Select “Call”
  3. In the Call Whisper section, enter a message that will be read out loud to you when Agent CRM calls you. Example:
    • “John Smith just filled out our life insurance funnel. Press any button to call them back.”
  4. Set Business Hours:
    • Click Custom Time
    • Select the hours when you want to receive Hot Transfer calls (e.g., 9 AM – 3 PM, Monday-Friday)
    • Any leads that come in outside these hours will be stored and triggered once business hours resume
  5. Click Save and Publish the campaign

📌 Step 3: Set Up a Trigger to Add Leads to the Hot Transfer Campaign

  1. Go to Automation > Triggers
  2. Click “Create Trigger”
  3. Name your trigger (e.g., “Hot Transfer Trigger”)
  4. Set the Trigger Condition
    • If using a funnel form submission:
      • Choose “Form Submitted” as the trigger
      • Select the specific form (e.g., “Life Insurance Funnel Form”)
    • If using other criteria (e.g., leads tagged as “High Priority”):
      • Select “Contact Tag Added” and choose the tag
  5. Set the Action
    • Click “Add to Campaign”
    • Select your Hot Transfer Campaign
  6. Click Save & Activate

How the Hot Transfer Campaign Works

✔ As soon as a lead submits their form (or meets your trigger criteria), Agent CRM will call you instantly
✔ The Whisper Message will read out their name and tell you to press a button to call them back
✔ You press any button, and Agent CRM will connect you immediately


Customizing Your Hot Transfer Campaign

📌 Filter Leads Before Calling

  • If you only want qualified leads to trigger a Hot Transfer, you can add custom fields to your form
  • Example: Only transfer leads who answer “Yes” to “Are you interested in a quote today?”

📌 Pause Transfers Outside Business Hours

  • Prevent after-hours calls by setting a custom time window

📌 Use Tags to Trigger Transfers

  • Add a tag like “Hot Lead”, and set the trigger to call you when a lead gets that tag
