Your clients can’t see the work you put in behind the scenes. They don’t see the conversations you have with your team while you work on their file or help them through a claim. What they do see, and feel, is how you make them feel, and that decides the kind of referrals you get.

Watch: Insurance client retention ideas using your CRM.

I’m Alex at Agent CRM, and one of the most important things I can help you with is making your clients feel like you care. Below are six simple client retention ideas you can run inside your CRM. And yes, you can do all of them even if you’re not using Agent CRM.

Why “feeling seen” keeps clients with you

Here’s what happens when a client feels a real connection with you. When their policy goes up a little, or they have a bad experience, they come back to you. They give you more grace, because they’re dealing with someone they know.

That’s the goal of every idea below: make your clients feel that you appreciate them, you value them, and you remember them.

1. Send birthday and half-birthday texts

Happy birthday texts and half-birthday texts go a long way toward helping clients feel seen. They take seconds to send, and they set you apart from the agent who only shows up at renewal time.

In your CRM, set these up once with automation so they go out on their own.

2. Put mail in their mailbox

Direct mail is a cheat code when it comes to being remembered. There’s nothing like getting a personalized letter from someone when you weren’t expecting it.

At Agent CRM, we’re huge fans of Mailbox Power. It’s what we use to send personalized letters, greeting cards, and gifts. There are other services you can use too, but I encourage you to use direct mail with your clients.

It can be a thank you. It can be a “just checking in.” And remember: the most impactful card is the one that’s not expected.

3. Make a quick check-in phone call

A short, no-agenda phone call is one of the easiest ways to stay top of mind. You’re not selling anything. You’re just letting them know you’re thinking of them.

4. Celebrate the anniversary of their first visit

This one is really fun. When it’s the anniversary of an event a client had with your agency, reach out and remind them. For example:

“Hey, one year ago you walked into our office and needed some help.”

It reminds them that you were there for them when they needed you.

One important note: don’t do this for a claim. You don’t want to bring up past trauma, like a car accident.

Here’s how it works in your CRM. Let’s say John Doe walks through your door with a question. You make sure everything is taken care of. Then, in your CRM, you schedule a text message to go out one year from now to remind him of the interaction you just had. Set it once, and it does the remembering for you.

5. Use email to stay in their inbox

You’ve got text and mail covered. The email inbox is another crucial channel for staying connected to your clients.

Send things like email newsletters, reminders, and random check-ins. In those emails, invite your clients to join you on social media.

Here’s a tip that also earns you referrals. At Agent CRM, we give all of our users a free PDF they can share called “How to Hang Up on Scammers.” It was designed for you to share with your elderly clients. Here’s how to use it:

  1. Send an email to your list with the PDF attached.
  2. Encourage them to forward it to someone who needs to see it.

You deliver real value to your clients, and you set yourself up for referrals at the same time.

6. Show up on social media

Think about what clients remember about you. They remember seeing you. They remember the personal experience and the relationship.

  • On your personal profile: Show up well. Many of our friends in the insurance marketing world talk about this, and I give it a big thumbs up. It’s a great way to engage your clients.
  • On your business Facebook page: People are going to research your agency name, so make sure that page looks alive. Post fun pictures of your team having a good time, even if your team is just you. It doesn’t all have to be professional. In fact, it shouldn’t all be professional.

Your clients want a human

Here’s the bottom line. Your clients could buy insurance online. They don’t, because they want to deal with a human being.

Texts, mail, calls, email, and social media are all ways to show that human side, again and again.

A simple plan to start this week

  • Turn on automated birthday and half-birthday texts.
  • After your next new-client visit, schedule a one-year anniversary text in your CRM (skip claims).
  • Send one email with a helpful PDF and ask clients to forward it.
  • Post one fun team photo on your business page.

I’d love to help you increase your client retention with the technology and marketing strategies we’ve pre-built inside Agent CRM.
