The Annual Enrollment Period (AEP) runs October 15 – December 7. For Medicare agents, this is the most important 54-day window of the year.

The agents who crush AEP don’t wing it. They have a system. Here’s a 9-step framework for making AEP 2026 your best year yet.


Step 1: Clean and Segment Your Book of Business (Before AEP Starts)

Before you do anything else, know who you’re talking to. Pull your full client list and segment it:

  • Clients with plans coming up for renewal
  • Clients who might be better served by a plan change this year
  • Prospects who showed interest but didn’t enroll last year
  • Clients in their Initial Enrollment Period (IEP) this fall

Each segment needs a different message and a different timeline. Lumping everyone together is one of the most common AEP mistakes.

Step 2: Map Your Outreach Calendar

AEP is 54 days. That sounds like a lot until you’re in week three and realize you haven’t called half your book. Build your calendar before October 15:

  • Week 1 (Oct 15–18): Contact renewal clients first
  • Weeks 2–4: Work through your full client list systematically
  • Weeks 5–6: Follow up on prospects and leads
  • Final week: Catch stragglers, handle outstanding applications

Block time on your calendar for calls. Don’t leave it as “I’ll get to it.” It won’t happen.

Step 3: Set Up Automated Pre-AEP Outreach

The best time to reach your clients is before AEP officially starts — in September and early October. Use Agent CRM to send:

  • Review the plan changes in your market
  • Know which plans are entering or leaving your service area
  • Understand the LIS (Extra Help) changes for your low-income clients

You can’t do a meaningful review if you’re learning the plans at the same time you’re selling them.

Step 5: Simplify the Enrollment Conversation

AEP clients are often anxious and confused. The agent wins when they can make a complex decision feel simple. Your enrollment conversation should follow a clear structure:

  1. Confirm what they have now
  2. Ask about any changes in their health, prescriptions, or providers
  3. Run a plan comparison based on their actual needs
  4. Make a clear recommendation with a reason
  5. Handle questions, then close the enrollment

Don’t give them 6 options and tell them to choose. Guide them. Clients want to feel taken care of, not overwhelmed.

Step 6: Use Video Appointments to Scale Your Capacity

In-person appointments are valuable but they eat time. Video appointments via Zoom let you serve more clients in less time. Set up a simple Zoom link, add it to your Agent CRM calendar, and let clients self-book.

Many clients — especially those 65+ — are very comfortable with Zoom. Offer both in-person and video options and let them choose.

Step 7: Track Every Lead and Appointment in Your CRM

  • Scope of Appointment forms are required for in-home visits (48 hours in advance)
  • You cannot discuss specific plan details until a Scope of Appointment is signed

  • You cannot solicit clients who aren’t in a plan you can sell
